HR Assistant (Training and Operations Support)

Job Summary:
The HR Assistant (Training & Operations Support) provides administrative and coordination support to the Training team to help ensure company training programs are organized, accurately tracked, and delivered on schedule. This position supports training enrollment, scheduling, communications, recordkeeping, reporting, materials preparation, and day-to-day coordination with stores, trainers, participants, and HR partners. The role is well suited for a detail-oriented team member who enjoys supporting learning programs, maintaining accurate information, and helping training activities run smoothly across multiple locations.
Responsibilities:
Training Coordination & Administration:
- Assist with coordinating company training programs, including new-hire onboarding, compliance training, leadership development, and other assigned learning initiatives.
- Schedule training sessions, maintain participant rosters, send communications and reminders, and support coordination among trainers, stores, managers, and participants.
- Track enrollment, attendance, course completion, assessments, and required follow-up; identify missing or incomplete records and communicate outstanding items to the appropriate team members.
- Maintain accurate training records, trackers, files, and learning system data in accordance with established processes and deadlines.
- Prepare training materials, sign-in sheets, job aids, presentations, certificates, and other program documents as requested.
- Support training logistics, including room setup, virtual meeting coordination, materials distribution, and participant communications.
- Assist with formatting, updating, organizing, and maintaining current versions of training materials, SOPs, and job aids.
Training Data & Reporting:
- Update training trackers, dashboards, and recurring reports with accurate and timely information.
- Compile weekly, monthly, and ad hoc training data for review by the Training and Operations Support team.
- Perform basic data checks to identify missing information, duplicate records, overdue training, or completion discrepancies and escalate issues as needed.
- Assist with maintaining training documentation and supporting audit readiness through organized files and accurate records.
Operations & Team Support:
- Provide day-to-day administrative support to the Training & Operations Support team and assist with assigned projects and initiatives.
- Respond to routine training-related questions and requests; route policy, performance, employee relations, or other higher-level matters to the appropriate HR or Training team member.
- Collect information and follow up with stores, managers, and participants regarding training schedules, documentation, assessments, and program requirements.
- Support coordination of store visits, meetings, training sessions, and special projects as assigned.
- Partner with HR, Operations, and other cross-functional teams to help ensure training communications and administrative processes are completed consistently.
- Perform other duties as assigned to support training, operations, and organizational initiatives.

Qualifications:
- Associate degree in Human Resources, Business Administration, Communications, or a related field is preferred. Equivalent education and relevant administrative experience may be considered.
- 0-2 years of administrative, Human Resources, training coordination, office support, or related experience is preferred. Retail, food service, logistics, or multi-location experience is a plus.
- Bilingual in English/Mandarin or English/Spanish is preferred.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook; ability to learn internal systems and training platforms.
- Strong attention to detail and ability to maintain accurate records while handling multiple assignments and deadlines.
- Good organizational, time-management, follow-up, and problem-solving skills.
- Clear verbal and written communication skills with a professional and service-oriented approach.
- Ability to handle confidential information with appropriate discretion.
- Willingness to learn and ability to work independently as well as collaboratively in a team environment.
- Must be legally authorized to work in the United States without sponsorship.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.

- Travel: Occasional travel to store or training locations may be required.
- Available to work on weekends and holidays as necessary.

Compensation:
The pay range for this job is $23.00 - $25.00 hourly. This is a general guideline only and not a guarantee of compensation or salary.
