Job Summary:
The HR Specialist – Training & Operations Support provides hands-on support for HR operations, training coordination, employee relations documentation, compliance tracking, and workforce development programs in a multi-location retail environment. This role works closely with HR leadership, store leadership, regional operations, and internal teams to help ensure consistent HR practices, accurate records, timely training completion, and effective communication across locations.

This position is ideal for a detail-oriented HR professional who is organized, proactive, and comfortable supporting employee relations, training administration, reporting, field communication, and process improvement in a fast-paced retail environment.

Essential Duties and Responsibilities:
Training & Operations Support:
  • Coordinate training programs, including onboarding, compliance training, leadership development, internal promotion readiness, department training, and operational training initiatives.
  • Maintain training calendars, participant rosters, completion records, assessment records, readiness reports, program trackers, and training status updates.
  • Assist with LMS or training tracking system administration, including training assignments, learner records, completion reports, overdue training follow-up, and data quality checks.
  • Support the preparation and maintenance of training materials, SOPs, job aids, checklists, presentations, communications, and learning resources.
  • Track training progress, assessment results, overdue items, program milestones, readiness status, and participant follow-up needs.
  • Coordinate logistics for training sessions, assessments, interviews, panels, follow-up meetings, program communications, and field training activities.
  • Partner with store, department, and regional leaders to identify training needs, workforce readiness gaps, operational follow-up items, and process improvement opportunities.
  • Support rollout of company-wide training, compliance, HR, and operational initiatives by coordinating communication, tracking adoption, and following up on completion.
  • Conduct field visits as needed to support training execution, observe implementation, collect feedback, reinforce consistent practices, and assist with operational training follow-up.
  • Prepare reports and summaries for HR and Operations leadership regarding training completion, program progress, assessment results, compliance gaps, overdue actions, and workforce readiness.
  • Recommend practical improvements to training workflows, communication templates, trackers, SOPs, reporting tools, and follow-up processes.
  • Support special projects related to employee development, operational consistency, compliance readiness, leadership development, and internal promotion pipelines.

HR Operations & Employee Relations Support:
  • Support HR operations, including employee relations documentation, policy follow-up, compliance tracking, HR records, and administrative support.
  • Provide practical HR support to store, department, and regional leaders regarding attendance, performance documentation, corrective action, policy application, and employee relations follow-up.
  • Assist with employee relations matters by gathering information, reviewing documentation, preparing summaries, tracking next steps, and escalating sensitive or complex issues to HR leadership.
  • Support workplace investigations by coordinating documentation, scheduling interviews, maintaining case notes, and organizing records.
  • Review HR documents for completeness, consistency, accuracy, and alignment with company policy and HR standards.
  • Maintain accurate HR records, training files, assessment documentation, compliance logs, program trackers, and employee status updates.
  • Perform other related duties as assigned to meet business needs.

Qualifications:
  • Bachelor’s degree in Human Resources, Business Administration, Organizational Development, or a related field preferred; equivalent experience may be considered.
  • 2+ years of Human Resources experience required, preferably in an HR Specialist, HR Coordinator, HR Generalist, Training Coordinator, HR Operations, or similar role.
  • Experience supporting employee relations, documentation, investigations, performance management, corrective action, coaching, or policy guidance preferred.
  • Experience coordinating training programs, onboarding, compliance training, leadership development, assessments, LMS administration, or training trackers preferred.
  • Experience supporting retail, grocery, logistics, warehouse, restaurant, manufacturing, or other frontline operational workforces strongly preferred.
  • Bilingual English/Mandarin required. Spanish language skills are a plus.
  • Working knowledge of federal, state, and local employment laws, especially California wage/hour, leave of absence, anti-harassment, retaliation, discrimination, accommodation, and employee relations requirements.
  • Strong Excel, Word, Outlook, and PowerPoint skills required; HRIS or LMS experience preferred.
  • Strong organizational skills, attention to detail, follow-up discipline, confidentiality, and ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to work effectively with employees, store leaders, regional leaders, HR leadership, and cross-functional partners.
  • Ability to analyze information, identify trends, prepare summaries, and recommend practical process improvements.
  • PHR, SHRM-CP, or equivalent HR certification preferred.
  • Authorized to work in the United States without sponsorship.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • May require standing or walking for extended periods during store, warehouse, training, or facility visits.
  • May occasionally lift up to 25–50 pounds based on operational needs.
  • Must be able to travel to store, warehouse, office, or training locations as required.

Working Conditions:
  • Work is primarily performed in an office environment, with periodic visits to retail stores, warehouses, training rooms, or other operational environments.
  • May occasionally be exposed to heat, cold, noise, equipment, food production areas, warehouse environments, or other operational conditions during field visits.
  • May require occasional weekend, evening, or holiday support based on training schedules, investigations, operational rollouts, or business needs.

Compensation:
The pay range for this position is $70,500–$80,000 per year. This range is a general guideline only and is not a guarantee of compensation or salary.
