Summary
We are seeking a detail-oriented and proactive Procurement Coordinator to join our Procurement Department. This role is pivotal in ensuring operational efficiency by managing end-to-end procurement processes, maintaining accurate inventory data, and fostering strong communication between internal departments (including stores and operations) and our vendors. The ideal candidate will be a strong problem solver who can navigate complex supply chain tasks, handle system data with precision, and act as a reliable bridge between internal needs and vendor solutions.
Key Responsibilities:
Procurement Operations & SAP Management:
- Execute and monitor the full purchase order (PO) lifecycle within SAP, ensuring timely processing, accuracy, and proper maintenance of procurement records.
- Proactively monitor lead times for both standard orders and new product launches to prevent stockouts and operational delays.
- Assist in maintaining product master data, pricing, and vendor information within the ERP system.
- Assist in cost analysis and identify opportunities for cost savings and process improvements.
Cross Departmental Collaboration:
- Act as a professional liaison between internal stakeholders (e.g., store managers, marketing, operations) and vendors.
- Ensure procurement requests from internal departments include all required information (e.g., MOQ, technical specifications, estimated usage, and approved budget) before processing, acting as a gatekeeper to prevent wasteful or incorrect procurement.
- Provide timely updates on order status, ETA, and any potential supply chain disruptions to affected departments.
- Coordinate with warehouse and logistics teams to ensure timely receipt of goods and resolve delivery discrepancies.
Vendor & Inventory Management:
- Coordinate with vendors for quotations, order confirmations, and effective issue resolution (e.g., shipping delays, quality issues, or billing discrepancies).
- Monitor inventory levels to minimize stockouts and assist in tracking excess or obsolete inventory to optimize inventory carrying costs.
- Ensure all procurements comply with company policies and formal purchasing procedures (e.g., preventing unauthorized "emergency" purchases outside of standard workflows).
- Perform other duties as assigned by management.
Qualifications & Requirements:
- Education: Bachelor’s degree in Business, Supply Chain, Logistics, or a related field.
- Experience: Minimum of one year of professional procurement or purchasing experience.
- Language: Fluent in English and Chinese Mandarin is required.
Technical Skills:
- Strong proficiency in Microsoft Excel (data analysis, report generation, and formula usage) and Google Workspace applications (e.g., Gmail, Google Sheets, Drive, and Slides).
- Experience with ERP systems is highly preferred (SAP knowledge is a significant plus).
Professional Competencies:
- Excellent Communication: Ability to translate technical or operational needs into clear communications for vendors, and provide professional feedback to internal departments regarding procurement processes.
- Organizational & Problem Solving: Ability to manage multiple projects simultaneously, prioritize tasks in a fast paced environment, and proactively resolve discrepancies.
- Industry Knowledge: Previous experience in the grocery or retail industry is a plus.
- Soft Skills: A service-oriented mindset with the ability to maintain high standards while building collaborative relationships across departments and with vendors.
